Keeping your email address lists
updated and cleaned is an important part of conducting a
responsible and successful email marketing campaign. Prospect Manager is a robust
email address management program to help you organize and
manage your email address lists. Some of its
features include:

Merge (combine) two or more lists into one file.

Split up larger lists to make them more manageable.

Add
addresses to a specified list.

Remove
addresses from a specified list.
-
Remove
duplicates and improperly formatted addresses.
-
Extract
addresses from an existing list based on your criteria.
-
Retrieve a list's statistics (number of addresses, domains, etc.)
-
Full compatibility with the Prospect suite of bulk email
software programs.

When you open Prospect Manager, the first screen you will see is this:

This screen shows the task menu in Prospect Manager.
Simply select the task that you want to use during this session. If you
hover your mouse over the different features it gives a detailed explanation
of the specific feature. Once you have selected the feature that you want to
use during this session, click the "next" button.
Combine Multiple Files

This "Combine Multiple Files" feature allows you to merge several
lists into one list. Click the "add file(s)" button to select the list(s)
that you want to merge together. Then, enter or create the file name that you
want to merge the lists into by clicking the "browse" button.
Split Lists:

The "Split Lists" feature allows you to
split one large list into several smaller lists. To select the file that you
want to split, simply click on the "browse" button. Then enter the number of
addresses that you want to split the list into. When you click on the "split"
button, it will split the file into several smaller files based on the number
that you enter. The new lists will be named filename-split0.txt,
filename-split1.txt, , filename-split2.txt, and so on.
Add Addresses to File:

The "Add Addresses To File" feature
allows you to add email addresses to an existing or new file manually. To add
addresses to an existing file, click on the "browse" button to select the
list you want to add addresses to. To begin adding addresses, type in the
address you want to add and click the "Add" button. To remove any addresses
that you added by mistake, click on the address and hit the "Remove" button,
or hit "Clear" to remove all of the new addresses.
If you want to add the addresses to the list and then create a new file
(keeping the old file intact without the new addresses), click the "Add the
addresses and combine to a new file" button, and then click the "browse"
button to enter the new file name. When you hit the "Process List", the new
addresses will be added to the file.
Remove Addresses from File:

The "Remove Addresses From File" feature
allows you to remove email addresses from existing files using several
different methods of removal. To begin the process, enter the email address
list file that you want to remove addresses from by clicking the "browse"
button to the right of this field. If you have a list of addresses that you
want to remove from the list, enter it by clicking the "browse" button next
to the "Remove Using File" field (this file can be created using Prospect
Remover). To remove individual addresses manually, type them into the
field below "Remove Individual Addresses" and click "add". To remove all
addresses of a specific domain, type the domain into the filed below "Remove
Domains" and click "add". To remove all addresses containing specific text,
type them into the field below "Remove Containing Text" and click "add".
If you want to remove all of the specified addresses from the list and then
save the results to a new file, click the "Save to a new file" option and
then click "browse" to enter the new file name. When you are ready to remove
thee addresses from your list, click on the "Process List" button.
Remove Duplicates and Improperly Formatted Addresses:

The "Remove Duplicates and Improperly
Formatted Addresses" feature allows you to remove any duplicate email
addresses and improperly formatted addresses that may be in your files. Enter
the list to clean by clicking on the "browse" button next to the field. If
you want to clean the list and save the results to the existing file, make
sure that the "Clean list and overwrite same file" option is selected. To
clean the list and save the results to a new file, select the "Clean list and
write to new file" option and enter the new file name by clicking the
"browse" button next to this field. When you are ready to clean the list,
click on the "Clean List" button.
Extract Addresses of a Specific Domain:

The "Extract Addresses Of A Specific Domain"
feature allows you to extract email addresses of a specific domain and add
them to a new or existing file. This feature is great when you want to send
to only specific domains in your lists such as "hotmail.com" and others. To
begin, select the list that you want to remove the addresses from by clicking
the "browse" button next to this field. Then, enter the criteria for the
email addresses you want to extract. Select or create the file you want to
save the extracted addresses from by clicking the "browse" button next to
this field. Once you're ready to begin the extraction process, click on the
"Start Extracting!" button.
Retrieve List Statistics:

The "Retrieve List Statistics" feature allows
you to find out the number of email addresses you have in a list, including
the number of different domains that the list is comprised of. To begin,
enter the email address list file that you want statistics for by clicking
the "browse" button next to this field. Then, click the "Get Statistics"
button to retrieve the statistics for the list.
Note:
Larger lists will take more processing time for this feature, so please be
patient.
